We collect information that you, your employer or another authorised contact gives us, including names, contact details, business and Companies House details, service and billing addresses, site requirements, waste streams, quote choices, messages, documents, payment status and portal-account information.

We also create operational records while providing the service, such as collection requests, service changes, correspondence, invoices, audit history and security logs. When contractual documents are viewed or signed, the evidence record may include the date and time, IP address and browser or device information. Company information may be checked against Companies House. Collection partners and payment, communications or signing providers may return status information needed to run your account.

Employment and recruitment records need different information and safeguards from customer records. Employees, workers and applicants should read our employee and applicant privacy notice.

We use personal information to answer enquiries, calculate and check estimates, prepare quotes and contracts, set up and administer accounts, arrange collections, share necessary instructions with collection partners, manage portals and documents, bill and collect payment, keep duty-of-care and financial records, prevent fraud, secure the service and meet legal obligations.

Depending on the activity, we rely on steps requested before a contract, performance of a contract, compliance with a legal obligation, and our legitimate interests in operating, improving and protecting Recyclr and supporting customers. Where the law requires consent, we ask for it separately and you can withdraw it.

Fields marked as required are needed to prepare or administer the requested quote or service. If they are not supplied, we may be unable to give an accurate estimate, complete the account checks or provide the service. Optional information can be left blank.

If you give us information about another person, please make sure you are authorised to do so and that they can read this notice.

We share only what is reasonably needed with collection partners and suppliers involved in pricing or delivering a requested service, and with providers that support hosting, databases, email, document signing, payments, security, accounting and professional advice. Our current core technology providers include Vercel, Render, Neon, Zoho and Stripe. We may also disclose information where the law, a court or a regulator requires it.

Our suppliers act under contracts and must protect the information they handle. We do not sell personal information.

Some technology providers may process information outside the United Kingdom. Where they do, we use an available lawful transfer mechanism and the safeguards required by UK data-protection law.

The website calculates an estimate using the services, bin sizes, quantities, frequency and active price book you select. That estimate does not make a legal or similarly significant decision about you. An account manager checks the operational details before an account can go live.

We keep information only for as long as it is reasonably needed for the purpose collected and for contractual, waste-duty-of-care, tax, accounting, regulatory, dispute and security requirements. Different records have different retention periods. When information is no longer required, we delete or anonymise it where appropriate.

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability or objection to its use. You may also withdraw consent where consent is the lawful basis. These rights can have legal limits.

We currently use only technology needed to operate and secure the website and its portals; we do not currently use advertising or audience-tracking cookies. Our cookie and storage notice explains the current position and will be updated before any non-essential technology is introduced.
